1. PARTICIPANTS

 
   

Who may attend the workshop?

 
    Workshop attendance is by invitation only. If you would like to attend, please send an e-mail to contact.workshop@iict.pt with the subject line "Request Workshop Attendance". In your message, please indicate your reasons for wanting to attend. We will communicate our decision to you via e-mail.  
    If I am a speaker or discussant what are my obligations?  
    If you are a speaker or discussant, you are required to submit your presentation (PPT or PDF format) to contact.workshop@iict.pt by September 14, 2008.  
    Do I have to submit a biographical note?  
    All participants appearing on the workshop program will be required to submit a short biographical note (in WORD format) to contact.workshop@iict.pt by September 14, 2008.  
     
  2. SPONSORSHIP  
    Do I need to pay to attend the workshop?  
   
  • Participants may be eligible for a sponsorship, which will be decided and communicated on a case by case basis.
 
      When awarding sponsorships, workshop organizers will give priority to participants coming from developing countries, especially Africa. As a result, participants attending the CGIAR Executive Committee and, CGIAR Change Management meetings are unfortunately NOT eligible for sponsorship. The same applies to participants attending the ECART Meeting – in this case, however, the extra hotel cost due to the extension of their stay, in order to attend the workshop, will be covered.  
   
  • The sponsorship covers a round-trip air ticket in economy class to Lisbon, Portugal and hotel accommodation (breakfast included). Sponsored participants are directly responsible for settling any other expenses they incur.
 
    Sponsored participants should carefully read travel reimbursement procedures (see below).  
    I am an eligible participant and will be travelling with my spouse/partner. Is he/she eligible for a sponsorship?  
    Unfortunately, spouses and partners of participants are not eligible for a sponsorship.  
    Can my spouse/partner (or guest) attend the workshop dinner only?  
    We welcome spouses and partners to join us at the workshop dinner. However, please note that if you would like to have your spouse/partner or guest attend the workshop dinner, it will cost € 65 for that person to attend. Please send an email to contact.workshop@iict.pt with the subject line "Guest for Workshop Dinner Only" and we will create an invoice for you in the amount of € 65.  
     
  3. REGISTRATION  
    How do I register for the workshop?  
    You should register on-line, at www.iict.pt/workshop/regist.asp, by no later than August 31, 2008.  
   
  • Sponsored participants will be required to provide both travel and accommodation preferences in addition to their personal details. All other participants need only provide their personal details.
 
    If I am a chair, speaker, discussant or speaker at the conference, do I need to register?  
    Yes! Please remember that anyone who will be attending the workshop needs to register.

  6. VISA REQUIREMENTS  
    Do I have to arrange my own Visa?  
    Yes, if you require one to enter Portugal. Please ensure that you have complied with any foreign entry formalities that may apply to you prior to travelling.  
   

Please note that it is a participant’s own responsibility to obtain any appropriate visa(s). The workshop will not be responsible for the costs incurred by any participant who fails to investigate visa requirements and as a result is unable to travel.

 
    Participants requiring a Schengen visa should contact the workshop organizers in order to get a formal invitation for the Portuguese consulate. Please send an e-mail to contact.workshop@iict.pt with the subject line "Invitation Letter for Visa Request” in which you include the following information:  
      Full name (as it appears on the passport)
Passport number
Dates of visit to Portugal.
 
     
  7. AIR TRAVEL ARRANGEMENTS  
    I am a sponsored participant. Do I have to make my own air travel reservations?  
    No, since workshop organizers will make air travel reservations on your behalf based on the travel preferences you indicated upon registration.  
    However, YOU WILL BE RESPONSIBLE FOR PAYING FOR YOUR AIRLINE TICKET. As a sponsored participant, you will of course be reimbursed provided that you follow travel reimbursement procedures (see below).  
    The workshop’s designated travel agency will contact in due course regarding the payment of your airline ticket.  
    How will I be reimbursed?  
    You will be reimbursed by direct credit. You will need to provide workshop organizers with the following two items:  
      1) Travel Reimbursement form;
2) Original boarding passes.
 
    During your visit, workshops organizers will provide you with the “Travel Reimbursement” form, together with an addressed envelope, which you can use to post the two items to us upon your return home.  
    Do I always need to send my boarding pass?  
    Yes, as we will NOT be able to reimburse your air travel expenses unless we receive your boarding passes.  
     
  8. HOTEL ARRANGEMENTS  
    I am a sponsored participant. How can I make hotel reservations?  
    The workshop has secured a block booking for 2 nights (28 and 29 September, breakfast included) at the VILA GALÉ OPERA, which is the designated workshop hotel. For more information, please visit the hotel website at www.vilagale.pt/pages/hoteis/?lang=1

    What are cut-off dates for reservations?  
    Please make your reservations by no later than September 14, 2008.  
    How do I upgrade my room at the hotel?  
    Sponsored participants may upgrade rooms, at their own cost, by contacting the hotel directly.  
    How do I prolong my stay at the hotel beyond the two nights covered by the sponsorship?  
    Sponsored participants may prolong their stay at hotel, at their own cost, by contacting the hotel directly.  
     
  9. AIRPORT & GROUND TRANSPORTATION  
    What is the closest airport to the workshop venue and hotel?  
    Lisbon airport (LIS) is the closest airport to the workshop venue and hotel (approximately 14km). Participants are responsible for their own transportation to and from the airport.  
    What ground transportation is available?  
    Passengers in need of ground transportation are advised to use taxi. We suggest that you ask your taxi driver what the approximate fare will be in advance. A fare of more than € 20, including baggage, should be considered expensive.  
    Is there shuttle bus service available between my hotel and the workshop venue?  
    No, as the workshop venue is in walking distance from the hotel (about five minutes).  
     
  10. MEALS  
    Refreshments and meals will be provided during the workshop. These include two lunches, a dinner and coffee breaks. We will NOT provide per diem or reimbursement for meals outside of what is offered within the workshop program.  
     
  11. SIDE EVENTS  
    Are any side events planned for the workshop?  
    Yes. Information on these side-events will be provided in due course.  
     
  12. PRE & POST WORKSHOP TOURS  
    Are there any pre and post workshop tours?  
    Pre and Post-workshop sightseeing tours to Lisbon and surrounding places of interest have been organized by a specialist travel agency. Tours are undertaken at participants’ own cost. More detailed information is available at: www.iict.pt/workshop/tours.pdf.
